GAIP computer application for managing permissions at the Institut Pasteur on weekends and bridge days

In 2018, the senior management team tasked the Information Systems Department and the Technical Resources and Environment Department with devising an online application to simplify the process of requesting access to restricted access areas. This resulted in the permissions management application, known as GAIP.

As announced on May 7, in light of the exceptional circumstances associated with the COVID-19 pandemic, it has been decided to widen the scope of this tool to include campus access in the evenings, at night, at weekends and on public holidays and "bridge" days between public holidays and weekends (out-of-hours or "HNO" access).

We would remind you that access to campus is authorized without restrictions from Monday to Friday, 7am to 9pm.

Outside these times, staff wishing to access campus on Saturdays, Sundays, public holidays, "bridge" days or weekdays in the evening or at night will now require prior permission. They should:

Enter any requests to access campus out of hours in the GAIP tool by 4pm the previous day (e.g. by Friday at 4pm to come in on the following Sunday, by 4pm on the last working day before the start of a long weekend including a public holiday or a long weekend including a "bridge" day).

  • Secure the approval of their line manager (or the person delegated to perform this role), also before 4pm.

Please note: those requesting access to a BSL3 laboratory out of hours will not need to submit an additional out-of-hours request. Their badge will be automatically programmed to give them campus access as well as access to the requested BSL3.

 

As we reminded you on May 7, campus access will be granted subject to completion of the following compulsory training/certification (valid for 5 years):

  • Scientific staff working in wet labs:

- General risks, health in the workplace, fire

- Biological risks

- Chemical risks (including gas module)

  • Administrative and scientific staff working in dry labs:

- General risks, health in the workplace, fire

Once the access request has been approved by the manager or the person delegated to deal with permission requests, you will receive a confirmation email authorizing you to come onto campus at the requested time (each new time slot requires a separate request).

All staff with permission to come onto campus out of hours must adhere to the following rules:

  • Avoid working in isolation;

  • Comply with the regulations on daily and weekly rest periods;

  • Apply all the provisions in the Internal Regulations.

The GAIP application for out-of-hours campus access will be implemented on Thursday June 18, 2020, for requests to access campus over the weekend of June 20 and 21, 2020. Those requesting access must be up to date with their compulsory training/certification by June 17, 2020 at the latest.

These guidelines must be strictly applied to facilitate campus access while ensuring safe conditions for those coming to work on campus.
