COVID-19: additional business continuity measures following the staff memo of October 29


Key points:

  • Reduce presence on campus as much as possible:

•    Priority given to wet-lab research activities, organization of teams on campus coordinated by line managers;
•    All staff who can do so must work from home

  • Restrictions on external visitors and intern supervision

  • No business trips allowed without special permission  

 
Further to the staff memo of October 29 regarding the new lockdown measures introduced in France, the BCP Committee (which is reverting to its initial name, the Business Continuity Plan Committee) would like to outline the following additional measures.
 
1/ Presence on campus should be reduced as much as possible, with daily checks on the total number of staff on campus:
 
Obligation to work from home every day for those able to do so:
To ensure the continuation of ongoing wet-lab research activities, all staff who are able to do so (support and administrative staff and scientific staff who do not need to be on campus) must work from home 5 days a week, unless they are granted special permission from their line manager and director for a justifiable reason.
 
All staff working from home must record their remote working days via the HR portal in the category "Télétravail situation exceptionnelle" (home working in exceptional circumstances), so that staff presence on campus can be monitored. Please note that the HR portal will soon be opened up to OREX staff so that they can enter their remote working days.
 
If you have any questions about computer equipment, especially taking the equipment you use on campus home with you, we would remind you that you can send an email to informatique@pasteur.fr.
 
Regarding wet-lab research activities, entity heads are asked to fill in spreadsheets indicating the weekly organization of their team's activities, bearing in mind the aim of minimizing staff presence on site and also taking into account any safety restrictions (extra care should be taken with lone working, especially junior staff).
 
For the Institut Pasteur staff who have to work on site, campus will now open at the earlier time of 6am for vehicles and staff.
 
2/ External visitors:
 
Campus access is suspended for external visitors, unless special permission is granted by the BCP Committee. Access is authorized for deliveries, installation and equipment maintenance and for those leading training sessions, but an email must be sent in advance to PRPA-science@pasteur.fr (for scientific equipment) or PRPA-priorite@pasteur.fr (for other equipment, adding "equipment" in the email heading) and the visit must be recorded in advance via the following link: https://telemaque.pasteur.fr/telemaque/gestion/login.asp?machine=adc-default-pool-113.
 
3/ Interns:
 
Regarding current and future interns:

  • In principle, ongoing internships will be continued and any planned and future internships will still take place. Like all other staff, interns should work from home every day where possible.

  • By way of exception, for scientific internships that require some wet-lab research activities that cannot be performed remotely, interns will be permitted to come onto campus, but only for these activities.

  • Arrangements for future internships (remote working and/or time on campus) will be set out in each internship agreement. For current internships an email exchange with the university/host institution is all that is required.


4/ Business trips:
 
No business trips are authorized until further notice, unless prior permission has been granted (via the MIP application or the address dssu@pasteur.fr).
 

5/ Flu vaccination:
 
The arrangements for Institut Pasteur staff to receive a flu vaccination at the Medical Center have changed:

  • Staff working from home on a full-time basis who have already registered or made an appointment should contact the Medical Center to postpone their appointment to a later date.

  • Any new requests for appointments should be made by emailing vaccination.grippe@pasteur.fr and will be confirmed by return email.

  • No vaccinations will be performed without an appointment.

  • These arrangements may change depending on available vaccine stock.

 

6/ Vigipirate national security alert system:
 
Access to campus is restricted following the raising of the Vigipirate national security alert level to Urgence attentat ("Attack emergency"):

  • Vehicle access to campus is only possible for staff with an annual parking permit (vignette) or who register by 7pm the previous day via the portal  https://telemaque.pasteur.fr/telemaque/gestion/prepa_visite.asp;

  • No cars or staff may come onto campus between 9pm and 6am except in an emergency;

  • Anyone wishing to access campus at the weekend, on a public holiday or outside the opening times must send a request by email (copying in their line manager) to astreintes@pasteur.fr by 7pm the previous day.


7/ Remaining additional leave:
 
We would remind you that you must take any remaining additional leave days (JRTT) by December 31. They cannot be carried over after this date.
