New features added to the GAIP computer application for managing permissions at the Institut Pasteur

After introducing the possibility to submit in-hours access requests for BSL3 laboratories via the GAIP IT application, the Information Systems Department and the Risk Prevention Department in the Technical Resources and Environment Department are pleased to inform you that a new feature has been added to the GAIP application to enable you to submit out-of-hours access requests for these laboratories.

The GAIP application now offers the following options:

  • Submitting access requests for BSL3 labs for Saturdays, Sundays, public holidays and days falling between public holidays and the weekend ("bridging days"), as well as weekday evenings.

  • Displaying all active permissions in GAIP for BSL3 labs accessible out of hours.

  • Displaying a list of people authorized to accompany those requesting BSL3 access without needing to re-enter their names.

  • Line manager approval of BSL3 access requests made by scientists and accompanying scientists.

  • Human Resources Department approval, as now (in line with the French Labor Code, in the event that the maximum permitted working time is exceeded).

  • Risk Prevention Department approval.

  • Email notification of badge activation for those requesting BSL3 access and their accompanying scientist.

To make sure your request is dealt with in good time by all those involved in the process, it should be submitted and approval from your line manager (or acting line manager) should be secured by 12 noon on the day before you wish to access the lab during an evening (after 9pm), on a public holiday, or during a weekend or long weekend. We would advise that you submit any requests well in advance to make sure that you can secure your out-of-hours access in time.

Another new feature in GAIP prevents access being blocked following a change in the department you are assigned to.
Access is no longer blocked following a change in department. Your permission will remain active for a month, giving you plenty of time to submit a request with your new department (via the "Copy" option).

These changes will be available in the GAIP application from Monday June 11, 2018.
