The Institut Pasteur workplace health service has created a simple educational flyer with reminders of the simple gestures, and basic rules of hygiene, that you can employ to protect yourself especially in the current epidemic situation linked to the novel coronavirus SARS-CoV-2.

  • People at risk of developing a severe form: online declaration for those required to stay at home

In accordance with the decisions by the French government, we would remind you that anyone at risk of developing a severe form of infection* must stay at home.

Staff with duties that cannot be performed remotely (who therefore do not have the option of working from home) will be granted a leave of absence, which should immediately be reported online on the website of the French health insurance authority (assurance maladie). This should be done without consulting a doctor so as to facilitate the procedure and avoid burdening family physicians with the task of issuing leaves of absence.

Anyone with a health condition that warrants a leave of absence can therefore request permission to be absent from work, for an initial period of 21 days, via the website declare.ameli.fr. This leave of absence may be applied retroactively from March 13.

  • Recording days worked from home

In an epidemic situation, the employer can impose telecommuting on his employees. We therefore propose derogations from our telework agreement so that the greatest number of employees can exceptionally benefit from it. The Management of the Institut Pasteur therefore changes the conditions of access, without seniority or activity rate, on different points. These measures aim to limit the physical presence of employees on site as much as possible, mitigate the risk of virus transmission and are part of the employer's safety obligations. It is now about protecting yourself and your colleagues and especially the most fragile. These measures are effective since Tuesday March 17.

We would remind you that access to campus is currently only permitted for those staff whose physical presence is strictly necessary for the continuity of priority activities.

An explanatory memo sets out the procedure for recording home working via the HR portal. The option "home working in exceptional circumstances" is available today, Friday March 20.

All staff currently working from home should record any days already worked from home via the following link: https://portailrh.pasteur.fr/

The Human Resources Department has also compiled an HR FAQ, which is now available on a dedicated page. This FAQ will be regularly updated to take account of situations encountered by staff and questions raised. (in French).

 

  • Extension of residence permits/application receipts/long-stay visas and information about visa applications

1. In view of the current health context associated with the spread of the COVID-19 virus, prefecture appointments for individuals applying for residence permits have been suspended until further notice.
But staff with residence permits with an expiry date after March 16, 2020 will be given a three-month extension. Even if their permit expires, they can continue to work (from home if they are not needed in person on campus) and to enjoy social protection for three more months.
 
Which documents are covered?

The validity period of any of the following documents due to expire after March 16 will be extended by three months on an exceptional basis:

- residence permits (of any type, except for special residence permits issued to foreign diplomatic and consular staff)

- receipts of residence permit applications (récépissés)

- long-stay visas

- proof of asylum applications

Foreign nationals whose permit has expired and who have been given a three-month extension are advised not to leave France during this time as they may have problems returning to the country.

2. All visa applications (short-stay Schengen visas, long-stay visas for France and visas for overseas territories) have been suspended. Visa applications that have already been submitted and applications for which an appointment has already been made are also suspended.

 

  • Temporary provision of meals for teams working on campus during the COVID-19 outbreak

A packed lunch service will begin on Monday March 23, 2020.

This free service is aimed at Institut Pasteur staff responsible for critical priority activities. It will be provided from Monday to Friday in one of the modules under the company restaurant, from 12 noon to 1.30pm. Every day, a different takeaway packed lunch will be available. The lunches contain a starter, a hot meal that can be heated in one of the many microwaves on campus, cheese and dessert.

 

  • Priority processing of requests for troubleshooting or maintenance

As from midnight on March 17, 2020, for staff whose physical presence is strictly necessary all requests for troubleshooting or maintenance should be sent by email to 9333@pasteur.fr. Please indicate the building/floor/room in the request and provide a telephone number.

Requests should only be made by email and calls to 9333 are no longer operational.
