COVID-19: Arrangements for taking and carrying over paid leave and additional leave

In response to the current unprecedented situation, the management team has adopted a number of measures for taking and carrying over paid leave and taking additional leave granted under the set days system.

  • What is the aim of these measures?

• To maintain continuity in the best possible conditions;

• To anticipate the resumption of activity following the confinement period, working on the basis of a resumption of work in early May;

• To respect the right of all staff to take leave;

• To ensure that leave days taken between April and May are distributed evenly so as to keep the impact on our work to a minimum.

  • Who are they for and how do they work?

We have endeavored to adopt measures that are suited to each different work situation in which you may find yourself during this extraordinary period, whether you are working from home (with or without a reduced workload), you have a role that cannot be performed remotely or you are working on campus.

Depending on your work situation, you must take between 2 and 4 days of leave (at least) before April 30, and 2 days of additional leave for those with a set number of days of work per annum (under the forfait-jours system). If you are working on campus, you will also be encouraged to take these leave days. As things currently stand, all employees are strongly discouraged from taking more than three days of leave in May.

Line managers should try to organize their teams' annual and/or additional leave schedules as effectively as possible. Annual and/or additional leave days must be requested and approved via the HR portal as usual.

  • Carrying over unused leave days

Any unused leave may exceptionally be carried over beyond the usual deadline of May 31. Different deadlines have been set for each employee situation should this prove necessary.

These measures are based on existing mechanisms in place at the Institut Pasteur or provisions adopted recently at national level for companies, namely the company agreement for annual leave and the Government Order of March 25, 2020 for additional leave.

It goes without saying that these measures may be subject to change depending on the development of the emergency health situation and the length of the confinement period.
