COVID-19 – Useful information: paid and additional leave, information security, keeping in touch remotely, FAQ

  • Reminder - Taking paid leave and additional leave in April and May

In accordance with the HR memo sent out on March 30, during the month of April employees must take between 2 and 4 days of paid leave (CP) and also a number of days of additional leave (JRTT).

The number of days you are required to take differs depending on your situation (employees unable to work from home, and employees working from home either full time or with reduced tasks). This measure does not apply to employees working on campus, but they are encouraged to take leave if their workload allows.

Taking paid leave
In accordance with your situation , we would ask you to request the required number of days/half days of leave by April 23 at the latest via the HR portal so that your manager can approve them by April 24 at the latest.
If some or all of the required number of leave days are not taken, we will deduct the days you still need to take from your total remaining leave, as follows:

- 4 days: April 27 to 30

- 3 days: April 28 to 30

- 2 days: April 29 to 30

- 1 day: April 30

Any unused leave may exceptionally be carried over beyond the usual deadline of May 31. Different deadlines have been set for each employee situation.

Taking additional leave
Employees working on the basis of a set number of days of work per annum (the forfait-jours system), who are entitled to additional leave days, must also take at least 2 days of additional leave (JRTT) in April. If these days are not taken via the HR portal, they will be automatically debited from your total number of days at the end of April (this requirement does not apply to employees with an active role in priority COVID-19 activities on campus, although these employees are strongly encouraged to take some leave as soon as they are able to do so).

In May, if you had already planned to take more than the maximum 3 days of leave stipulated in the memo, we would ask you to examine the feasibility of this request with your line manager, who is best placed to judge whether it is possible for you to take the days you had planned.

  • Update to the Working safely from home guide and prohibition of Zoom application

This period of confinement is disruptive to our work habits. To support you in the safe use of mobility tools, the Institut Pasteur Information Systems Security Department provides a dedicated and continuously updated guide.

Many malicious actors are taking advantage of this period; your vigilance is necessary now more than ever. (Be especially aware of phony apps for creating authorizations to go out (attestation de sortie); these are currently popping up on mobile app stores!)

In addition, as of today, Zoom and Discord video conferencing solutions are prohibited for all activities related to the Institut Pasteur, following the publication of major security breaches. Consequently, we are issuing the following directives:
 
- We ask that you uninstall the Zoom application, which in some cases could jeopardize the machine.

- If you are invited to participate in a Zoom conference hosted by a partner, (including a business solution), be extremely careful about the information you share, don't install anything and use exclusively the browser mode.

- Zoom subscriptions, or renewals of Zoom subscriptions, which occur after April 16, 2020 will not be eligible for reimbursement.
