Reminder: GAIP tool now used for all requests to access campus on weekends, public holidays and "bridge" days (outside working hours)

We would like to inform you of the recent decision to extend the GAIP permissions management application to include any access to the Institut Pasteur campus on weekends, public holidays and "bridge" days (ponts) between public holidays and weekends (access outside working hours – HNO).

This means that:

* Access to campus will continue to be authorized without restrictions from Monday to Friday.

* Outside these times, if you wish to access campus on Saturdays, Sundays, public holidays or "bridge" days, you will now have to request permission in the GAIP tool, before 9pm on Fridays for the following weekend, or the last working day before the start of a long weekend (public holiday on a Friday or Monday or the start of a "bridge" weekend).

→    Your line manager (or the person delegated to perform this role) may refuse the request in the GAIP tool before 9pm.

→    In the absence of an access refusal from your manager, you will receive a confirmation email authorizing you to come onto campus at the requested time (each new time slot requires a separate request).

→    In the event of an emergency, people wishing to come onto campus may contact the Security Operations Center when they arrive and, subject to approval by the on-call officer, will be given permission to access campus on an exceptional basis.
 
Note: those who have already submitted a request to access a BSL3 laboratory out of hours will not need to submit an additional out-of-hours request. Their badge will be automatically programmed to give them campus access as well as access to the requested BSL3.
 
There will be a test phase for this new out-of-hours version of GAIP for requests to access campus over the weekend of December 9 and 10, 2023.
 
The new version of GAIP is set to be rolled out for all requests from the weekend of January 20 and 21, 2024.
 
A few reminders:

1- Out-of-hours campus access is only approved if the person requesting access has valid certification for the compulsory training in general risks.

2- Line managers can delegate the task of approving permission requests via the "Delegation" option (see the main GAIP screen).

3- All staff with permission to come onto campus out of hours must adhere to the following rules:
-    Avoid working in isolation;
-    Comply with the regulations on daily and weekly rest periods;
-    Apply all the provisions in the Internal Regulations.

4- These rules do not apply to heads of scientific or administrative units/departments, group leaders, CSE members, members of the management team and the Board of Governors, animal facility staff and on-call staff.
