New on the HR portal: online requests for absences during core working hours

As part of ongoing efforts to digitize its processes, the Human Resources Department has introduced a system of online requests for absences during core working hours (APF) via the HR portal.

From now on, staff on the flexitime system should request their APF absences via the HR portal, in the same way as their paid leave requests.

With this new feature in the HR portal:
- Staff can visualize and manage all their absences in real time,
- Entity heads can manage absences for all their staff in real time (paid leave, additional leave (ARTT), APF, etc.) and view the schedule for their entire team.

Please note: Staff should continue to fill in their leave sheet as usual, noting down their APF absences and leave for other reasons.

Reminder:

  • Absences during core working hours (APF) are absences of a day or half-day taken on the basis of credit hours accumulated, provided that:

- the employee has accumulated enough credit hours and/or does not have more than 3 hours 30 of debit hours,
- the line manager approves the request for absence.

A maximum of 12 days of APF may be taken in any given calendar year, and the leave cannot be carried over. APF may be taken consecutively with days of paid leave, up to 5 consecutive days.

Please note:
Credit hours cannot be acquired solely for the purposes of building up credit hours, in other words in the absence of a workload that justifies an extension of normal working time beyond 7 hours a day.

Line managers may set a maximum daily working time depending on the employee's role.

  • The leave sheet should be signed by line managers and sent to the HR Department before the 10th of the following month.
