Dynamic displays to keep staff informed: new screens and display boards on campus

As requested by senior management, following consultations with several Institut Pasteur bodies, several display screens and boards have been installed in the entrance halls of a number of buildings on campus to showcase the latest Institut Pasteur news. These new installations, which include dynamic display screens and boards for posters and flyers, have been in operation since mid-September. The aim is to facilitate staff communication and provide a simple, modern system for displaying and disseminating information on campus.

The screens were selected on the basis of CSR criteria; they are the best on the market in terms of low consumption and carbon impact. The display times were also chosen to minimize energy consumption.

Dynamic display screen

Two categories of screen have been installed on campus: screens mainly showing information related to research departments and scientific events on campus, and screens for "institutional" news.

•    Screens for information about research departments and scientific events on campus

In addition to the Metchnikoff, Fernbach, Monod and Nocard buildings, several other buildings on campus now have digital display screens. These will display scientific information from the Institut Pasteur's research departments aimed at the scientific community on campus. Liaison staff in the research departments, especially department managers and assistants, will be responsible for providing accurate information presented in an accessible way. The information streams will include general scientific information, such as the scientific news on campus conveyed by the Scientific Support and Coordination Division (PACS), as well as details of more specific events such as thesis defenses, training opportunities, scientific images, interviews and departmental retreats.

The same screens will also be used to display technical and logistical information (e.g. upcoming power outages, elevator maintenance, oxygen deliveries, etc.) to inform staff and visitors using each building of what is happening in advance so that they can take any measures required.

Summary:

  • 14 new screens installed to display scientific and technical information
  • 2 information streams: one for scientific information and one for technical information
  • Set times for displaying information: 7.30am-6.30pm
  • The screens will be turned off at night (from 6.30pm to 7.30am) and at weekends

•    Screens to display "institutional" information

The "institutional" screens, located by the entrance and checkouts in the company restaurant, in the cafeteria The 25 (inside and outside), the social area of the Omics buildings, and near the elevators in the CIS, will show information of interest to all staff, similar to the information found in the newsletter. They will provide a space to inform campus about major events coming up such as conferences organized and/or hosted by the Institut Pasteur, events with senior management like the Town Hall meetings and the New Year ceremony, webinars organized by various departments, and other staff events (organized by the CSR, HR Department and DEI, World Music Day, Pasteurdon, Heritage Days, etc.), as well as information about inaugurations, exhibitions, etc.
These screens will be operated by the Internal Communications Division in the Department of Communications and Public Affairs.

Summary:

  • 7 institutional screens
  • 1 information stream aimed at all staff
  • Set times for displaying information: 7.30am-6.30pm
  • The screens will be turned off at night (from 6.30pm to 7.30am) and at weekends

Display boards

The new display boards are intended to group together and centralize printed information to avoid posters being displayed randomly on doors, windows, walls or in elevators, as often happens on campus. These new boards can display flyers and posters in a single, easily identifiable space, preventing information being dispersed in random spots all over campus and quickly becoming out of date.

Anyone who wants to display a poster about an event or meeting they are organizing must now use these display boards rather than windows, elevators and walls. To improve accessibility and visibility, please aim to display your events two weeks in advance and remove your posters or flyers once the event has taken place to leave space for others. Please also use posters in A4 format (or A5 if there is not much information) so that there is enough space for information about the many and varied events that take place all over campus.

Summary:

  • 12 display boards in entrance halls
  • A centralized display area for each hall
  • A4 or A5 format
  • Information about events should be displayed two weeks before they take place
  • Drawing pins should be used to fix posters or flyers to the felt surface
