New features and best practices for the Easy Welcome app for visitor management

The Easy Welcome app was introduced in 2024 to improve security and facilitate visitor management. In 2025, it was used to handle access for more than 70,000 visitors.

Since the app was rolled out, the Security Department team has been listening to your feedback, taking your various comments into account and making the changes needed. We are constantly working to improve a tool that is essential for campus security. One key adjustment to the Easy Welcome system has been to redirect the QR code scanning process to dedicated terminals at the campus entrances. Using QR codes simplifies the access process for visitors while also improving safety on campus.

Read on for a reminder of best practices when using the Easy Welcome app to register visitors and manage parking.

Easy Welcome is available at https://pasteur.easy-welcome.fr or via your service portal in the section "Mes visites" [My visits]: "Réserver une place de parking" [Book a parking space].

Features  

1- Adding several contact people

You can add up to five contact people to your access requests. This is a way of overcoming any unforeseen absences or timetable clashes. The "contact person" is the specific Institut Pasteur staff member who will take responsibility for the visitors at reception and badge them in.
 
The reception staff remain available in the event of unforeseen circumstances. 
 
If you are receiving five visitors simultaneously, the reception staff member will inform the security officer to facilitate access, and your visitors can use the dedicated PMR entrance.
 
If you add several contact people, make sure you add numbers where they can be contacted. By default they will be contacted via Teams.

2- Planning a meeting over five consecutive days

You can now create a meeting over five consecutive days. You will no longer need to duplicate your requests, and a different QR code will be sent to your visitors each day. You will still have to go to reception each day to validate access for your visitors and arrange for them to be escorted by a member of staff.

The visitor will receive their QR code by email. The code is valid for the duration of campus opening hours, from 7am to 9pm.
 
3- Booking a parking space 

  • Visitors

When you create an invitation for a visitor and they need to access the site with their vehicle, you will need to check the box "P" for parking, and when the green tick appears you can enter the vehicle registration number and model. You can then choose a parking space at 25 or 28 rue du Dr Roux.

Institut Pasteur staff members

Staff members who occasionally come to campus by car may park three times a week on site. If you wish to do so, click on the tab "Réserver Parking" [Book car park] and enter the information required.

Please note: You must park in the underground car parks on campus. 


4- Events 

For events or groups of more than 50 people, you will need to inform reception so that specific arrangements can be made.
